Higher education, preferably degree in business management administration or human resource management
At least 3 years of previous work experience in similar position
Good knowledge of MS Office
Basic knowledge of health and safety principles
Ability to communicate effectively, good interpersonal skills
Good written and spoken English
Good written and spoken Estonian
Good written and spoken Russian

We are looking for multi-skilled executive assistant with very good knowledge of English. You will have the opportunity to be involved in several different aspects of the organization such as: projects, marketing, audits and company routine coordination.
You need to be able to prioritize and manage multiple tasks, changing priorities as necessary. You must have effective oral and written communication skills, ability to interact with all levels of employees and clients.

Responsibilities

Office management: maintain stationary office supplies; ensure smooth day-to-day operation of the office; maintain current filing and archiving systems
Calendar and email management: proactively read, sort, distribute, and respond to incoming emails; maintain calendars and schedule meetings
Documentation handling: preparation of templates; preparation of project documentation; filing and archiving of documents
HR assistance: maintaining employee records and vacation schedule; travel arrangement; employee timekeeping and reports
Reporting: preparation of project associated reports
Invoicing and invoice payment monitoring
