Who are we?
CybExer Technologies (cybexer.com) is a NATO-awarded Estonian cybersecurity company founded in 2016.
We are providing and maintaining highly sophisticated cyber security training platforms with a special focus on cyber capability development. Our platforms enable us to deliver exercises aimed at ordinary users, technical responders, and the very top of strategic leadership. Our flagship solution is our cyber range solutions and the highly realistic live-fire exercises conducted on the range. Our capabilities and solutions have been used to conduct some of the world's largest cyber exercises.
CybExer is looking for an OFFICE MANAGER to oversee our office operations in all our locations.
Your key responsibilities are:
- Be the contact person for office manager duties (maintenance, mailing, supplies, equipment, bills, errands, shopping) and make sure all items are invoiced and paid on time
- Schedule meetings and appointments
- Organize the office layout and order the supplies
- Cooperate with HR to update and maintain policies, and onboard new employees
- Organize office procedures and operations
- Cooperate with IT regarding office equipment
- Manage contract and price negotiations with office vendors, service providers and office lease
- Provide general support to visitors
- Cooperate with vendors (cleaning, catering)
- Help organize team and company events
- Manage a team of assistants
Our expectations to you:
- Proven experience as an Office Manager or Administrative Assistant
- Fluent Estonian and English both spoken and written
- Proficiency in MS Office
- Hands-on experience with office equipment (e.g. printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
