Job description

We are looking for an experienced Executive Assistant to join our team and provide proactive, high-level support to our Vice Presidents and their leadership teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys bringing structure to complexity, and takes pride in enabling leaders to focus on strategic priorities through exceptional organisational and communication skills.

About the role:
The Executive Assistant supports Vice Presidents and their teams by managing calendars, schedules, and essential administrative tasks. This role helps streamline scheduling, supports task prioritisation and follow-up, and assists with gathering information and preparing reports as needed. The Executive Assistant plays a key role in enabling smooth daily operations and supporting effective decision-making across the leadership team.
 
Main tasks and responsibilities:
  • Proactively coordinate and support leadership with scheduling, travel, events, and calendar management.
  • Manage executive communications, filtering, prioritizing, and drafting responses to ensure smooth information flow.
  • Prepare and format presentations, reports, and documents for leadership meetings.
  • Track action items and project progress, flagging challenges and proposing solutions to keep initiatives on track.
  • Organize meetings, conferences, and events, handling logistics, venues, catering, and follow-ups.
  • Oversee travel arrangements, including flights, accommodation, and itinerary management.
