  • Bachelors degree in Human Resources, Business Administration, or related field.
  • Minimum of 3 years of experience in a recruitment or HR coordination role, preferably within a multinational company
  • Ability to effectively communicate with various stakeholders, including candidates, hiring managers, and external partners.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Meticulous attention to detail to ensure accuracy in data management and compliance.
  • Proactive and solution-oriented with the ability to handle unexpected challenges and changes in the recruitment process.
  • Collaborative mindset with the ability to work effectively in a team-oriented environment.
  • Ability to adjust to rapidly changing environment.
  • Committed to delivering an exceptional client experience and enhancing the companys employer brand.
  • Ability to handle sensitive information discreetly.
  • Proficiency in using HRIS tools (Workday is a strong plus) and recruitment management systems. Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Fluency in English is required. Additional languages spoken in the EMEA region are a plus.

Tööülesannete kirjeldus

  • Coordinate the end-to-end recruitment process:
  • Work closely with hiring managers to schedule interviews, and communicate with candidates.
  • Maintain and update interview calendars to ensure accuracy and resolve conflict when needed.
  • Manage and coordinate relevant assessment for the position when applicable.
  • Input and maintain accurate candidate information in the HRIS tool from the creation of the position to posting and hiring.
  • Regularly update and audit HRIS data to ensure accuracy and compliance with company policies and legal requirements.
  • Liaise with stakeholders:
  • Serve as the primary point of contact for candidates, hiring managers, and other relevant stakeholders throughout the recruitment process.
  • Coordinate with Travel department the travel and accommodations for candidates, if necessary.
  • Ensure interview rooms are booked and set up with the necessary equipment.
  • Manage candidate experience:
  • Ensure a positive candidate experience by providing timely updates and feedback throughout the recruitment process.

Job Posting and Compliance:
  • Post job requisitions: Ensure job requisitions are posted on main HRIS Career Portal, university Job Board and LinkedIn including mandatory portals to meet legal country requirements when applicable.
  • Compliance monitoring: Stay updated on legal and regulatory requirements for job postings and ensure compliance in all recruitment activities.

HR Administrative Support:
  • Job offer and contract creation: Prepare and send job offers and employment contracts to selected candidates.
  • Onboarding documentation: Coordinate and manage the collection and processing of necessary onboarding documents.
  • General HR support:
  • Provide administrative support for other HR activities as needed, including attestation and verification processes.
  • Assist with the immigration application process and ensure compliance with legal requirements.

Candidate Experience and Employer Branding:
  • Ensure seamless client experience: Maintain high standards of communication and service delivery to ensure a seamless experience for all clients, including hiring managers and candidates.
  • Enhance employer branding: Support initiatives to enhance the companys employer brand through consistent and positive candidate interactions and by promoting the companys values and culture.

Graduate Program Support:
  • Early career coordination: Support the Early Career Lead with the coordination of graduate interview processes and logistics.
  • Logistical management: Arrange with Travel department travel, accommodation, and other logistical details for graduate candidates as needed.
