Description
The Operations Administration Coordinator supports the COO by managing schedules, meetings, reports, and various administrative tasks to ensure efficient office operations. This role requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced setting.
Key Responsibilities
1. Administrative Support
- Assist the COO with scheduling, travel arrangements, and communication management.
- Prepare and edit reports, presentations, and other documents.
- Handle incoming and outgoing communications, ensuring timely responses.
2. Calendar Management
- Organize and prioritize the COOs calendar for meetings and appointments.
- Adjust schedules to meet urgent needs.
3. Meeting Coordination
- Prepare agendas, take minutes, and handle logistics for meetings.
- Track follow-up actions to ensure timely completion.
4. Travel and Expense Management
- Arrange travel and accommodations for the COO and senior staff.
- Manage expense reports and ensure compliance with policies.
5. Data Management
- Maintain operational records, files, and databases.
- Research and compile data for reports and presentations.
6. Communication
- Act as the main contact for the COOs office, managing inquiries and communication.
- Facilitate coordination between the COOs office and other departments.
7. Project Support
- Assist with special projects and initiatives to ensure objectives are met.
- Provide support to cross-functional teams as needed.
Conditions
- Full-time, mainly during business hours with occasional after-hours work.
- Office-based role with potential for occasional travel.
Requirements
- Experience in administrative or executive support, preferably in aviation.
- Strong organizational, communication, and multitasking skills.
- Proficient in Microsoft Office.
- High level of discretion and attention to detail.
Preferred:
- Knowledge of airline operations.
- Experience with C-level executive support.
