As a People Operations Specialist, you will be a key contributor to ensuring operational excellence across the Group in various people operation topics. Your role will require a keen eye for detail, a passion for working on documentation, and a systematic approach to processes.

Your daily tasks will be 
  • Provide hands-on support and expertise in all aspects of people operations - preparing employment contracts according to the local laws; preparing employment-related documents; registering employees to relevant registries, e.g. TÖR, sending employees to health checks, e.g. Confido; supporting with newcomers onboarding and employees offboarding processes; collaborating with local partners where needed;
  • Advise managers and employees on employee relations aligned with local labour law and provide proactive support;
  • Make sure that our People data is up to date in our platforms and prepare reports if and when necessary, e.g. time-offs, TRPs monitoring;
  • Be a superuser for our HR platforms (e.g. Hibob, Wemply, Avokaado), closely collaborate with the service providers to make sure that the platform responds to our needs, provide training for employees where needed, and be the main point of contact;
  • Confirm sick leave documentation and make sure that the internal and external data around it are aligned. Be our healthcare providers' first point of contact and arrange health checks for employees. Provide your advice where needed (e.g. glasses compensation, ergonomics);
  • Help create and keep up to date all of our people policies and procedures, e.g., time-off policies, benefit guidelines;
  • Together with People Partners and the Travel team, make sure that our relocates have proper and valid documentation for working in the respective country, e.g. visas and residence permits. Provide support where needed;
  • Take ownership of a couple of expertise areas, drive new initiatives in your respective expertise areas and lead development projects; be involved in other People Partners and People team initiatives and projects;
  • Be proactive and try to find solutions to different problems/questions employees and managers might have around the scheduling. Keep our scheduling policy up to date across the Group, proposing necessary changes and implementing them.
What we expect from you
  • At least 2 years of proven hands-on experience and expertise in the People Operations area (employment contracts, labour law, work health & safety, HR platforms, HR data, visa/TRP documents, etc.);
  • Knowledge and hands-on expertise in Estonian labour law and any other jurisdiction's experience is an advantage;
  • Previous hands-on experience and knowledge of scheduling, including the local labour law requirements, is beneficial;
  • An excellent level of Estonian and English;
  • Ability to handle sensitive and confidential information with discretion;
  • Proficiency in Microsoft Excel and HR software (preferably Hibob) is required;
  • Being proactive, having an excellent eye for detail, and being systematic and making sure that our people data and processes are solid and of good quality;
